Abstract submission guidelines
IMPORTANT DATES
- Opening of Abstract Submissions: December 8, 2025
- Deadline for Abstract Submission: March 1, 2026 (11:59 PM CET)
- Notification of Abstract Decisions: All submitting authors will be informed by email at the beginning of April.
POLICIES
- Applicants are strongly advised to review all submission requirements before uploading an abstract.
- Submit abstracts exclusively through the official online submission platform. Email submissions are not allowed, and abstracts must be submitted by the stated deadline to be reviewed.
- There is no list of topics, but we recommend submitting only topics related to radiation.
- Authors may indicate a preference for an Oral or Poster presentation.
- If an abstract is accepted for an Oral or Poster presentation, the presenting author must complete onsite congress registration. Failure to register will result in removal from the scientific program.
- Submitted work must not have been previously accepted or published in any peer-reviewed journal at the time of submission.
- Abstracts must also not have been presented at another scientific meeting.
RESTRICTIONS
- To prospective multicenter clinical trials and large-scale translational research, it will be submitted for the committee's review (to ensure methodological rigor across sites).
- Case reports and small single-institution studies with limited scientific contribution are discouraged.
- Abstracts describing clinical trials in progress, and those with lacking analyzed or collected data, are not eligible. Qualitative data submissions are acceptable.
- The presenting author must ensure that all co-authors have reviewed and approved the abstract prior to submission.
- All abstracts must be written in English.
- Disclosure of conflicts of interest is mandatory and must be completed during submission.
- Presentation preparation guidelines will be published on the congress website.
- Accepted abstracts with confirmed registration will appear on the online website in the abstract section.
ABSTRACT PREPARATION REQUIREMENTS
Before starting the submission process, please prepare the following details:
Presenting Author Information
- Full given and family name(s)
- Email address
- Institutional affiliation (department, institution/hospital, city/state if applicable, country)
- Telephone number
Abstract Details
- List of all authors and co-authors
- Preferred presentation format (Oral or Poster)
- Title: Must be written in ALL CAPS, limited to 25 words, and symbols should be spelled out
- Text length: Maximum of 250 words, including acknowledgments
- Submissions must be text only, excluding tables, figures, and bullet points. This ensures a blind review process and promotes uniform formatting, facilitating a fair evaluation for all submissions.
Abstracts must clearly include:
- Background and objectives
- Methods
- Results
- Conclusions
STYLE AND FORMATTING RULES
These conventions promote clarity and fairness, ensuring that all submissions are evaluated on an equal footing and conform to standard scientific communication practices.
- Disease names should be written without apostrophes (e.g., Wilms-tumour, Hodgkin-disease) and don’t refer to patients by their diseases (e.g., Patients with Wilms tumour). Use generic drug names only; abstracts must not include promotional or commercial language.
- Do not include patient names, hospital identification numbers, or any identifying data.
- Avoid beginning sentences with numerals; spell out numbers instead.
- Avoid phrases such as "This is the first study…," "To our knowledge," or "This is the largest."
- Abstracts stating "data will be discussed" will be rejected.
SUBMISSION PROCESS
- Select SUBMIT at the final step to save your abstract.
- Revisions may be made until the submission deadline; changes are not permitted afterward.
- A confirmation email containing an abstract reference number will be sent upon successful submission.

- Duplicate submissions of the same abstract are not permitted.
ABSTRACT SUBMITTER DECLARATION
During submission, the author must confirm the following:
- The abstract has been reviewed and is accurate as submitted.
- No modifications will be permitted after final submission.
- The content does not violate privacy, copyright, or intellectual property rights.
- The presenting author’s contact information is accurate and will be used for correspondence.
- The presenting author is responsible for registering and notifying co-authors.
- The organizers reserve the right to withdraw abstracts that do not comply with guidelines.
- Abstracts must be assigned to radiation topics; if not, they may be reassigned by the Committee if necessary.
REVIEW AND SELECTION
All abstracts will undergo anonymous peer review by members of the Scientific Programme Advisory Working Groups. Final decisions will be made by the Committee, taking into account the preferred presentation format.
Acceptance Categories
- Oral Presentations (onsite) – Presenting author must be registered.
- Poster Presentations (onsite) – Presenting author must be registered.
- E-Posters – Available via the congress app and virtual platform; one author must be registered.
